Introduction

At the City of Newcastle Golf Club, we are committed to ensuring that your privacy is protected. You can be assured that any information you give us will only be used in accordance with this privacy policy.

What we collect

When you join or visit our Golf Club we collect only the information required from you to be able to fulfil our contractual obligations. We may also collect further information through our website which allows us to contact you regarding events and offers at the club.

As an employee we collect only the information required to fulfil the contractual relationship between you and the club and we only share this data with internal and external data processors.

We may collect the following information:

  • Name and Surname
  • Date of Birth
  • Current Address
  • Phone numbers
  • Email address
  • Gender
  • Handicap ability
  • Membership Category

What we do with the information we gather

We require this information to administer your membership and to provide the products and services you have requested from us and provide you with a better service for the following reasons:

  • Internal record keeping.
  • Sending subscription notices to you.
  • Recording financial transaction to your subscription account.
  • Contacting you with relevant club correspondence.
  • Maintaining a record of any competitions you play in.
  • Maintaining a record of your handicap and related CDH Number.
  • Providing you with a Member’s Card for gaining access to the club and discounted bar facilities.
  • Confirm your handicap to other Golf Clubs if they request confirmation of your handicap for any competitions you have entered with them.

We may share your information with external and internal data processors (ClubV1, BRS) and also with the Club Professional. Your personal data is controlled internally by the clubs Data Protection Officer who adheres to the Golf Club’s internal data protection policies and procedures.

Marketing

You may have opted in for us to be able to correspond with you regarding our activities including events and competitions by way of post, telephone, email and SMS. We don’t share your data with external marketing companies who would contact you this way. If you have consented to this correspondence you can opt out at any time

CCTV

We keep CCTV images on a secure server that is only accessible by the management of the club. This data is not shared in anyway unless required for disciplinary or legal reasons.

Card Machines

Our card machines are used to administrate card payments at the club. We do not store the data except for transaction records for accounting and auditing purposes.

Individuals Rights

You have the right to request a copy of the information we hold about you. If you would like a copy of this information please email us at info@cityofnewcastlegolfclub.com or write to the data controller at the club.

We want to make sure that your personal information is accurate and up to date you may ask us to correct or erase information that you think is inaccurate.

At the time of collecting data you have the right to object to the club holding certain information about you.

Changes to our privacy policy

We keep our privacy policy under regular review and will place any updates on our website www.cityofnewcastlegolfclub.com.

 

This privacy policy is effective from 17/05/2018

Under General Data Protection Regulations you have the right to complain to the Information Commissioner’s Office (ICO) if you think there is a problem in the way your data is being handled.

Please do not provide anything sensitive here, like health details, or your credit card number.
